Privacy policy
What we collect when you book a shoot, who it goes to, and how to get it back or have it deleted.

PHX Valley Media photographs residential and commercial property in the Phoenix metro. This policy covers phxvalleymedia.com and the booking forms on it, and the handling of your information after that — through the shoot, the gallery we deliver and the invoice you pay.
The short version
We collect what we need to quote and schedule a shoot, get into the property, deliver the media, take payment and keep proper business records. We do not run analytics, we do not advertise to you, we do not sell personal information, and we do not share it for cross-context behavioral advertising.
What we collect
What you type into a booking or quote form
The booking and quote forms ask for your name, email address, phone number and brokerage, together with the details of the shoot: the property address, its size band, the package and any add-ons, your preferred and backup dates and times, how we get into the property (lockbox, seller present, you meet us, or vacant), any access note, and anything you write in the notes field. The estimate calculated from those choices is submitted alongside them.
The access details deserve a specific mention: a lockbox code or an instruction about a side gate is sensitive information about someone's home. Send only what we need to get in on the day, and if a code changes after you book, tell us rather than leaving the old one on file.
What you type into the address search
The property address field suggests real addresses as you type. Those keystrokes are sent to Google's Places API to produce the suggestions, which means Google receives what you type into that field, along with your IP address, whether or not you go on to book. Google's handling of it is governed by their own privacy policy, not by ours — see policies.google.com/privacy.
Address suggestions may be requested as you type or paste, even if you do not select a suggestion. If you prefer not to use the address-search field, contact us by phone or email to arrange your shoot.
Orders, galleries and payments
Once a shoot is ordered, the record of it lives in HD Photo Hub: who the client is, the property, the services selected, the appointment, the invoice, whether it has been paid, and the media we delivered. HD Photo Hub may create a client profile that lets you look back over past orders, invoices and shoots and download what you bought.
If you pay online, your payment details go to the payment processor shown at checkout in HD Photo Hub, not to us. We receive the payment status and the transaction record. This website never asks for card details and never stores them.
What the server records
This site is served by Cloudflare, which keeps standard request logs: IP address, the page requested, timestamp, and browser user-agent. These are used to serve the site and defend it against abuse. We do not build profiles from them.
What we do not do
- No analytics. There is no Google Analytics, no Meta pixel, no heatmap or session recorder on this site.
- No advertising or tracking cookies. The site itself sets no cookies at all. Cloudflare may set a strictly necessary security cookie to distinguish visitors from bots.
- No selling or sharing for advertising. We do not sell personal information and we do not share it for cross-context behavioral advertising.
Your progress through the booking form is stored in your browser's session storage so you can move between steps without losing your answers. That is not a cookie. When you submit a request, the booking details are sent to us. Session storage is generally cleared when the tab is closed.
Who else sees it
Service providers, each for one job:
- GoHighLevel — our inquiry and customer system. Every form submission goes here. It is where your inquiry lives, and it is what sends your confirmation.
- HD Photo Hub, operated by Dierks Technology, Inc. — our order management, invoicing, client profile and gallery delivery platform. It receives your contact details, the property and order details, the invoice and payment status, and the media we deliver. Their policy is at hdphotohub.com/learn-privacy.
- The payment processor shown at checkout in HD Photo Hub — it receives what it needs to take the payment. We get the status and the transaction record rather than your full card number.
- Google — the address suggestions described above, through the Places API.
- Cloudflare — hosting and delivery of the site itself.
We also use ordinary business suppliers — photo editing, video hosting, floor plan production, cloud storage, email and text messaging, and bookkeeping. They get only what they need to do that work for us.
Some media delivered through HD Photo Hub can be published as a property website or marketing material at the client's request. Anything deliberately put on a public property page is visible to anyone who visits it — that is the point of it, but it is worth saying plainly.
Beyond these purposes, we disclose personal information only where the law requires it, or where it is reasonably necessary to protect our rights, our customers, our property or someone's safety. We do not sell customer information and we do not pass your details to other photographers, brokerages or lead buyers.
How long we keep it
Inquiries, bookings, invoices, transaction records and order histories are held in GoHighLevel, HD Photo Hub and our own business records for as long as we reasonably need them: to do the work, to keep customer and accounting records, to meet tax and legal obligations, and to bring or defend a legal claim.
Delivered galleries may stay available in HD Photo Hub after an order is finished, but that is not a promise and not an archive. Download your files and keep your own copy.
Access details such as lockbox codes are only useful for the appointment they were given for. We treat them as expired the moment the shoot is over and take them out of our working records as soon as it is practical to do so, though a copy may sit in a system backup or in the original message for a while longer.
You can ask us to delete anything we are not legally or reasonably required to keep.
Photographs of your property
The images we take are covered by our terms of service rather than by this policy, but two points belong here. We publish a selection of our work on this site. If you would prefer a property you booked not to appear, tell us before the shoot and it will not — see the portfolio clause in the terms.
Photos of an occupied property may include personal possessions. Please remove private or sensitive items before the shoot. People may be intentionally recorded for services such as an agent introduction. If you have a concern about something shown in a delivered image or video, contact us so we can review it with you.
Your choices
Write to hello@phxvalleymedia.com and we will, within a reasonable period:
- tell you what we hold about you;
- correct anything that is wrong;
- delete it, where we are not required to keep it; and
- send you a copy.
You may contact us with a privacy request regardless of where you live. We will respond in accordance with applicable law.
Children
This is a service sold to real estate agents and property owners. It is not directed at children, and we do not knowingly collect information from anyone under 13.
Security
The site is served over HTTPS and submissions are encrypted in transit. No system is perfect, and we would rather say that plainly than promise otherwise. If you believe something has gone wrong, contact us at hello@phxvalleymedia.com.
Changes
If this policy changes, we will update the date above and describe material changes to the information collected or the parties receiving it.
